Room bookings

Information for students who would like to book a room on campus or invite a guest speaker to talk at an event.

General room bookings

Room bookings are not accepted directly from students.  If you would like to book a room for any reason not connected to a student society (eg. for a study group), you should contact your relevant departmental office, who will be able to help you make a booking.

Society room bookings

Room bookings for student societies are only accepted for recognised societies and should be made through the Guild of Students.

If you are a member of a recognised society and would like to book a room you should visit  the Student Development Department in the Guild of Students building.

Guest speakers

If you are inviting a guest speaker who is not a member of the University (either student,  staff or other member of the University), you must complete the speaker request form from the Conference Office.

Further advice about inviting a guest speaker to the University can be obtained from the Conference Office.

Freedom of Speech Code of Practice

Students who are proposing to hold meetings should read the Freedom of Speech Code of Practice, and ensure that their guest speaker has also read and understood it's implications.

Room guides

To find out what equipment is avaiable in a room and its facilities (available seating, room layouts, etc)  LRAT have a complete set of room guides for both Edgbaston and Selly Oak campuses.

Equipment

If you need to hire equipment or you require a demonstration on using the equipment in a room a room you must contact the Learning Resources Accommodation Team (LRAT).

LRAT usually require a minimum of 2 days notice, but cannot guarantee that demonstrations and hirings will be available in all instances.  We advise that you contact that as early as possible to avoid disappointment.

Showing videos

To show a video during your event, the University must be notified so that we can check that the director has given permission for the film to be shown, that the film has not been banned, or there is no other reason that the film cannot be shown.

There must be NO CHARGE for your guests to view the film.

To notify the University of your request to show a film, you must complete a freedom of speech form, including the following information

  • Title of the film
  • Year the film was made
  • Directors name
  • Date the film is due to be shown

You should submit the form at least 15 working days before the event to the Conference Office.

Security / Events outside normal business hours

There is a security charge for use of the following buildings outside of teaching hours

  • Haworth Building
  • University Centre
  • Aston Webb Building
  • Bioscience
  • Gisbert Knapp
  • Law
  • Chem Eng
  • Muirhead Tower
  • Nuffield Building (at weekends)

Please ensure that you check with the Guild of Students or the relevant School/Department that has aided you in making your booking to see if you need to contact the Security Department to make arrangements for entry.
